Booking Terms and Conditions

These Booking Terms and Conditions apply to all Retune Room services, including one‑to‑one sessions, private group sessions, corporate sessions, and group events. By making a booking, you confirm that you have read, understood, and agree to the following terms, including the Booking Disclaimer.

Booking Disclaimer

Sound healing and Reiki are complementary wellbeing practices and are not a substitute for medical care. By booking a session, you acknowledge and agree that:

  • Practitioners do not diagnose or treat medical conditions

  • You will not discontinue prescribed medication or medical treatment without guidance from your doctor

  • If you have a medical concern, you are advised to seek professional medical support

  • You are advised to consult your doctor before beginning any new therapy if you are pregnant, have a serious medical condition, or have a mental health condition

  • If you require life‑saving medication (e.g., inhaler, EpiPen, insulin), you will bring it with you to your session

Circumstances where services cannot be provided

For your safety and wellbeing, Retune Room does not provide sound healing or Reiki drum technique services if you:

  • Are in the first trimester of pregnancy

  • Have epilepsy or a history of seizures

  • Have a severe mental illness such as psychosis, bipolar disorder, or schizophrenia

  • Have broken or fractured a bone within the last 3 months

  • Have had a hip or joint operation within the last 6 months

By booking, you confirm that none of the above apply to you.

When medical advice is recommended before booking

You are advised to consult your doctor before booking if you:

  • Are pregnant (second or third trimester)

  • Have PTSD, anxiety, depression, or another mental health condition

  • Have Meniere’s disease, tinnitus, or an ear infection

  • Have metallic rods, pins, staples, or screws in your body

  • Have a pacemaker, defibrillator, artificial heart valve, cardiac arrhythmia, stent, or carotid stenosis

  • Have a deep brain stimulation (DBS) device or shunt

If you have a condition not listed here and are unsure whether a session is suitable, you are advised to seek medical guidance before booking.

It is your responsibility to inform Retune Room of any pre‑existing medical conditions, physical limitations, or sensitivities that may affect your participation or require accommodations.

Your wellbeing during and after the session

You may experience temporary discomfort as your body rebalances. Old symptoms or emotions may resurface as energy shifts. This process typically lasts 2–3 days. During this time, you are encouraged to drink plenty of water, rest, and allow your body to integrate the session. If you live with a mental health condition and notice emotions continuing after a session, please connect with your doctor or mental health professional for additional support.

By booking, you confirm that you participate voluntarily and take full responsibility for your physical, mental, and emotional wellbeing during and after the session.

Terms and Conditions
Consultation forms

For one‑to‑one sessions, a consultation form will be provided after booking and must be completed before attending your first session. After this initial form has been submitted, it is the client’s responsibility to inform Retune Room of any changes to their health, circumstances, or suitability for future sessions.

Group bookings (private, corporate & events)

For private group sessions and corporate bookings, Retune Room will communicate directly with the lead booker or designated organiser. A full consultation form is not required for each participant; however, the lead booker is responsible for:

  • Sharing all relevant contraindication information with every attendee

  • Ensuring participants understand any conditions under which sound healing may not be suitable

  • Advising participants to seek medical guidance if they are unsure about their suitability

  • Informing Retune Room of any known accessibility needs or considerations that may require adjustments

By confirming a group booking, the lead booker acknowledges that this information has been communicated to all attendees.

By attending a group session or event, each participant confirms that their participation is voluntary and accepts full responsibility for their physical, mental, and emotional wellbeing throughout and following the experience.

Liability

By participating in Retune Room services, you release the practitioner and any associates from claims, injuries, damages, or expenses arising from your participation, except in cases of gross negligence or intentional misconduct.

Please take care of your personal belongings. Retune Room and the venue are not responsible for loss, theft, or damage to personal items.

Respectful conduct

Participants are expected to behave respectfully and non‑disruptively. Retune Room reserves the right to refuse service or remove any participant whose behaviour is disruptive, disrespectful, or unsafe. No refunds will be issued in these circumstances.

Children and young people
  • Children under 16 require written permission from a parent or guardian, who must remain present throughout a one-to-one session.

  • Children aged 10+ may attend in-person group events with a parent or guardian, if they can remain quiet for the duration.

  • Children of any age may attend private group sessions or events.

What to bring & how to prepare

To support your comfort:

  • Wear warm, loose‑fitting clothing

  • Avoid alcohol and recreational drugs for at least 24 hours before and after a session

  • Quiet integration time is recommended afterwards

For studio sessions, blankets, pillows, linseed eye pillows, mats, and water are provided. For external venues, please bring your own mat, blanket, pillow, and water.

Parking & arrival (in-person sessions)

Retune Room is located in a residential area. Please be considerate of neighbours when parking. Car‑sharing is encouraged for group bookings.

You’re welcome to arrive at the studio up to 5 minutes before the session – everything will be ready for you to settle in with ease.

For external venues:

  • Please arrive no more than 15 minutes before the session

  • Doors close at the start time

  • Arrivals more than 5 minutes late will not be admitted to avoid disruption

Late arrivals are treated as no‑shows and are non‑refundable.

Late arrivals & missed sessions
  • Private sessions will end at the scheduled time, even if you arrive late

  • If no communication is received within 15 minutes of your start time, your session will be cancelled with no refund

  • Late arrivals to external‑venue group sessions will not be admitted and will not receive a refund

Online events

For online sessions delivered via Zoom, the following terms apply:

  • If you are unable to join live, a private replay will be available for 48 hours via YouTube

  • Attendance is limited. Please do not share the Zoom link with others. Each booking allows access from one device only

  • The session will start promptly at the scheduled time, so please join a few minutes beforehand

  • Microphones and cameras are off by default. You will only see the host’s video feed

  • Participants cannot unmute themselves, but the chat may be used for brief interaction

  • For your safety, please do not drive or operate a vehicle while listening. These sessions promote deep relaxation and should only be experienced in a safe, stationary space

To create a relaxing, supportive environment at home:

  • Choose a quiet, comfortable area where you can sit or lie down undisturbed

  • Use blankets, cushions, and warm layers for comfort

  • Light a candle, burn incense, or diffuse essential oils

  • Place supportive crystals nearby to amplify the healing energy

  • Keep water nearby

  • Use good‑quality headphones or external speakers for the most immersive sound experience

Cancellation policy

To cancel or reschedule, please provide at least 24 hours’ notice.

  • Cancellations within 24 hours are considered late cancellations and are non‑refundable

  • No‑shows are non‑refundable

  • Fees for late cancellations, late arrivals, and no‑shows are retained to cover allocated time and resources

If Retune Room must cancel a session, you will be offered either:

  • A full refund, or

  • A transfer to another equivalent session (subject to availability)

Fees & payment

Fees are displayed at the time of booking. Payment is due in full at the time of booking unless otherwise agreed.

Adjustments to services

The practitioner may adapt or modify a session based on your needs, energy, or responses. Recommendations for self‑care or professional referrals may be suggested, but you are under no obligation to follow them.

Updates to these terms

Retune Room may update these Terms and Conditions at any time. Changes take effect immediately upon posting. You are encouraged to review them periodically.
